Hi.
Within the documents module, I have assigned personnel to relevant documents (eg: engineering / manufacturing / quality / purchasing etc). No problem wiith this - straightforward.
However, if someone leaves the company, then I will need to re-assign all of his/her documents to someone else so they become the now document owner. Self explanitary. However, most of our people have in excess of 100 documents assigned to them.
Currently, I beleive you can only change one document holder at a time, which takes a long time, rather than listing & highlighting all relevant documents and then re-assiging the new document holder all at once, which would be far quicker.
Has this been previously logged as a "complaint for improvement" or am I the first to bring this subject up?

Hello Lea, thanks for your post, this has been logged with the developers for inclusion in a future QPulse release, as a workaround you can assign the replacement as a deputy to this person so they can acknowledge/approve these documents and then the changes can be made to each document at the revision process.

Steven, do you have a timeframe for when we may see this much needed application? Is it possible to roll out these type of enhancements as a single application rather than waiting for the next entire version?

Unfortunately I do not have this information, if you continue to check the community blogs we are continually announcing new features/development that will be available in v5.6.
We do not roll out fixes and enhancements seperately everything is developed for application within one patch.
Can I add another suggestion/comment on the same theme:
Could you consider adopting a combined user/role-based security model. For example, I'd like to be add a generic job-role (e.g. Radiation Protection Advisor, Lead Engineer etc) as the owner of various documents/activites etc, but then be able to assign that role to a named user. When a member of staff leaves, it'd simply be a case of re-assigning the role to someone else. Providing there's some form of log which shows the mapping of role to user over time, it'd be clear who it/was responsible for each role. I don't think this is possible at the moment (if it is, I need some more training!)

I agree. We have same problem. I believe that in QP4.2, when a person is removed there is an option to enter a replacement name. It's hard to understand why such functionality is not built into QP5.6 - it seems like such an obvious requirement. Sometimes I wonder if the developers actually use their own product!
This person replacement was very useful in all versions of QP4 and is a shame it still isn't possible in v5.6. Some really obvious and simple functionality from QP4 did seem to go with v5 - the training module particularly was much easier to use for doing training due reports on QP4. Just waiting for QP5.6 to be loaded (new job new QPulse!) - so am interested to see the differences between this and the v5.2 I was using.

We've gotten around that by setting up user profiles such as "Engineering Department", "Purchasing Department" etc and setting up the relevant people as deputies of this person. Therefore the document owner is "Engineering Department" and the deputy is the Engineering Manager and/or others nominated by them.

We logged this back in Feb 2009 under EH-912 which is under consideration for future release. It was one of several nice features in V4 that got left out of V5. I'm not quite sure how we all go about supporting/prioritising this for future releases. My understanding was that the case management portal would allow us to view/vote for enhancement requests but this only seems to show us our outstanding tickets at the moment.
We have an SQL script that we run when we need to change document owners or authors that have a large number of documents which saves us many hours of manual updating. I can provide details of this if anyone is interested.

Could send me a copy of your script (or perhaps post it here) too? Although my SQL is OK, it'd save some time if you've already done the work. What version of the database/Q-Pulse did you develop the script for? Given that Gael don't publish a document which details the database structure (I suspect a lot of us have been forced to attempt to work it out for ourselves) it could have changed since you developed the script.
There are quite a few things that were in v4 that aren't in v5. One that I'm constantly getting comments about is the lack of a graphical calendar which depicts asset activity due dates.

Please feel free to create and run scripts on your Qpulse5 database. However be aware that these are not supported by Gael unless the scripts come directly from the Support team. Please make sure you take a backup of your database before performing any modifications.

Big Ramage - what are the dangers of running SQL scripts (apart from the obvious like SQL logic errors, picking wrong fields)? Would there be any implications for signatures or the audit trail companion database if you use that?
